Donation Policy

How we handle monetary contributions, donor rights, and our commitment to transparency.

1. Purpose & Scope

This Donation Policy outlines the principles and procedures governing monetary donations made to the Utafiti Wellness Research Association (UWRA). It applies to all donors, whether individuals, corporations, or foundations, and covers all forms of financial contributions.

UWRA is a research-community focused organisation. While we greatly value non-monetary contributions such as resource sharing, idea exchange, mentorship, and collaboration, we also accept financial donations to support our core programs. This policy ensures that all monetary gifts are handled with integrity, transparency, and accountability.

2. Use of Funds

All monetary donations are used to advance UWRA's mission of translating research into community action. Funds are allocated to:

  • Fellowship & Training Programs – covering learning materials, mentorship, and field placement costs for emerging researchers and community health workers.
  • Community Health Programs – financing mobile health clinics, wellness workshops, maternal health support, and chronic disease prevention initiatives.
  • Research & Evidence Translation – supporting data collection, analysis, publication fees, and the development of policy briefs and community summaries.
  • Monitoring & Evaluation – tracking program outcomes, training M&E officers, and maintaining community feedback mechanisms.
  • Institutional Sustainability – a limited portion (never more than 5%) supports administrative costs, IT infrastructure, and strategic planning.

Transparency: UWRA publishes annual reports detailing how donations are utilized. Donors may request a breakdown of fund allocation for their specific contribution.

3. Donor Rights & Privacy

UWRA respects the privacy of all donors. We are committed to:

  • Protecting donor information from misuse, unauthorized access, or disclosure.
  • Not selling, sharing, or trading donor contact details with any third party.
  • Allowing donors to remain anonymous upon request.
  • Providing donors with accurate information about how their contribution is used.

Donors have the right to receive a receipt for their contribution, which may be tax-deductible where applicable. Please consult your local tax authority for eligibility.

4. Refund & Cancellation Policy

Donations are generally non-refundable. However, in the event of an error in the donation amount or payment method, UWRA will review requests on a case-by-case basis. To request a refund, please contact us within 14 days of the transaction with full details. Refunds will be processed using the same payment method used for the donation.

For recurring donations, donors may cancel their subscription at any time by contacting us directly.

5. How to Make a Monetary Donation

UWRA accepts monetary donations through the following channels:

  • Bank Transfer – details available upon request (please email us at finance@utafitiwellness.org).
  • M-PESA – paybill number and account details available on request.
  • PayPal / International – available for global donors (details provided via email).
  • Corporate Matching – many employers offer matching gift programs. Please check with your HR department.

6. Acknowledgment & Stewardship

UWRA acknowledges every donation with a formal thank-you letter or email. For significant contributions (above KES 50,000 or equivalent), we offer:

  • Personalized recognition (with donor consent).
  • Invitation to exclusive events or project visits.
  • Regular impact reports on the programs your contribution supports.

We believe in building long-term relationships with our donors and keeping them informed of the difference they make.
